Privacy Notice (KVKK)

1. Data controller

Under Turkish Personal Data Protection Law No. 6698 (“KVKK”), the data controller is Dr. Dt. Kemal Bulut Çırpan Muayenehanesi (“Fethiye Orthodontics”). Contact details are below:

2. Personal data processed

From our patients: identity information (name, surname, Turkish ID number, date of birth), contact information (phone, email, address), health data (examination findings, medical history, X-ray and CT images, intraoral and facial photographs, digital scans and impression records, treatment plans and treatment records), appointment records, and payment and invoice information. For minor patients, the identity and contact information of the parent or guardian.

From website visitors: technical records such as IP address, browser and device information, and the date and time of the visit. Our website has no forms, memberships or online payments.

From people who contact us by phone, email or WhatsApp: name, phone number and message content.

3. Purposes of processing

Your personal data is processed for the purposes of carrying out examination, diagnosis and treatment services, preparing and following up treatment plans, creating and reminding appointments, communicating with you, fulfilling record-keeping and reporting obligations under health legislation, invoicing, and protecting rights in legal disputes.

4. Legal grounds

Your personal data is processed on the legal grounds set out in Article 5 of the KVKK: being directly related to the establishment or performance of a contract, compliance with the data controller’s legal obligations, the establishment, exercise or protection of a right, and legitimate interest. Your health data is processed under Article 6 of the KVKK for the purpose of medical diagnosis, treatment and care, by physicians and authorised staff bound by confidentiality.

5. Transfer

Your personal data may be transferred, only to the extent required for the purposes above, to authorised public institutions as required by law (including Ministry of Health systems), to dental laboratories, radiology centres and relevant physicians we work with as needed for treatment, and to our accounting and legal advisers.

6. Method of collection

Your data is collected at our clinic in person, by phone, email and WhatsApp, and through the digital devices used during examination (X-ray, intraoral scanner, camera).

7. Retention period

Your personal data is kept for the periods set out in the relevant legislation or, where no period is set, for as long as the purpose of processing requires; at the end of that period it is deleted, destroyed or anonymised.

8. Website, cookies and third-party services

Our website does not use advertising or marketing cookies. Strictly necessary technical cookies and server logs may be used by our hosting infrastructure to keep the site secure and fast. The Google Maps view and fonts on the site are provided by Google. When you use the WhatsApp link, your conversation takes place through Meta’s WhatsApp service. These services have their own privacy policies.

9. Your rights

Under Article 11 of the KVKK you have the right to learn whether your personal data is processed; to request information if it is; to learn the purpose of processing and whether it is used accordingly; to know the third parties in Turkey or abroad to whom it is transferred; to request correction if it is incomplete or inaccurate; to request deletion or destruction under the conditions of Article 7 of the KVKK; to request that these actions be notified to the third parties to whom it was transferred; to object to a result against you arising exclusively from automated analysis; and to claim compensation if you suffer damage due to unlawful processing.

You can send your requests in writing to the address above or to info@fethiyeortodonti.com, in accordance with the Communiqué on the Procedures and Principles of Application to the Data Controller. Your application will be concluded free of charge within 30 days at the latest.
